Who we are

SanoCircle is an app for finding places nearby, checking in, collecting dots at partner places, and playing games with friends. It is made and run by Tezz Technology Pvt Ltd, Kathmandu, Nepal (“we”, “us”). This policy covers the SanoCircle app for Android and the services behind it.

SanoCircle is a separate product from Vanilla POS, the point-of-sale system some SanoCircle partner places use. We handle personal information in line with Nepal’s Individual Privacy Act, 2075 (2018) and the other laws that apply to us. Questions go to contact@getyourvanilla.com.

What we collect

Your account

  • Your mobile number, which is how you sign in: we text a code to prove it’s yours. It links your visits and payments at partner places to your account, and lets people who already have your number find you, unless you turn that off in Settings.
  • The passcode you set, which we keep only in a scrambled form that can’t be read back.
  • What you choose for your profile: a username, a display name, your avatar, a profile photo and an email address if you add them, and your date of birth if you add it. Your date of birth is private. We use it to keep Suggest people near me to people 18 and over.

Where you are

  • Your location, while you use the app and only if you allow it: to show places near you on the map, and to confirm you’re really at a place when you check in. SanoCircle doesn’t track your location in the background.
  • A rough area of about 5 km (not your exact position), for Suggest people near me. This switch starts on for new accounts, but it does nothing, and we keep no area, until you’ve given a date of birth showing you’re 18 or over and allowed location. After that, other adults nearby with it on can see you as a suggestion, and you them. Turn it off in Find friends and your area is deleted straight away.

Your contacts, only if you choose

  • If you use “Find friends from contacts”, the app reads the phone numbers in your contacts to see which belong to SanoCircle accounts. We don’t keep those numbers: a number that matches an account becomes a link to that person, a number you choose to invite is kept only as a one-way scrambled code (so it can’t be read back as a number), and every other number is discarded straight away. You can remove these in Settings at any time.

What you do in SanoCircle

  • Check-ins, visits, and the dots you earn and spend at partner places.
  • Table bookings you make, reviews and photos you post, places you suggest, and anything you report to us.
  • Your friends, the people you block, the tables you join and the challenges you send.
  • Games: what you played, your scores and moves, XP, levels, badges and streaks, and your chips, cash and XP in the store. Chips and cash are play money for the games only: they can’t be bought with money, cashed out or sold.

Notifications

  • A notification token for your phone, so we can reach it. It goes when you sign out. We also use the last time your phone gave it to us as your last visit, to decide whether to remind you after a few days away.
  • A record of each notification we send you and whether you tapped it. It shows us which ones are useful, and holds automatic ones to one a day. We keep it for 90 days.

Your device

  • Your IP address, device model, Android version and app version, when the app talks to our servers. We use these to keep your account secure, stop abuse (such as someone guessing codes), and fix problems.

Things the app uses but doesn’t send us

  • The camera, to scan a place’s QR code. We only receive the code, not the picture.
  • Bluetooth and Wi-Fi, to play with friends sitting next to you with no internet. The game goes phone to phone.
  • Your streak, for the evening reminder, which is worked out on your phone.

How we use it

  • To run SanoCircle: your account, the map, check-ins, dots, bookings, friends and games.
  • To keep it fair and safe: checking game results on our servers, limiting rewards, and dealing with reports.
  • To send you notifications: news from friends and games, answers to your bookings, festival greetings, and a reminder if you’ve been away a few days. You can turn these off in Settings.
  • To show you rewarded ads, but only when you choose to watch one in the store.
  • To answer you when you contact us, and to tell you about important changes to SanoCircle.
  • To meet our legal obligations.

Who sees what

  • Other people in SanoCircle see your username, display name, avatar or photo, level and badges. Your friends and the people at your tables and games also see what you do together there. You choose whether you appear on leaderboards and whether your profile is public.
  • Partner places see your name and number when you visit and pay, the dots for that visit, and the details of any booking you make with them.

We don’t sell your personal information, and we don’t share it for anyone else’s advertising.

Who helps us run SanoCircle

A few companies process information for us, only to provide their service:

  • Amazon Web Services hosts our servers and database, in Mumbai, India. Data is encrypted in transit and at rest.
  • Cloudflare carries traffic to our servers and protects them from attacks.
  • Sparrow SMS (for numbers in Nepal) and Twilio (for numbers anywhere else) receive your mobile number to text you sign-in codes.
  • Google: Firebase Cloud Messaging (which delivers notifications to your phone), Google Play (which delivers and protects the app), and Google AdMob, which shows the rewarded ads you choose to watch. AdMob may collect your device’s advertising ID, IP address and ad interactions under Google’s privacy policy. You can reset or delete your advertising ID in your phone’s Settings.
  • Map providers (OpenFreeMap for the map, Esri for the satellite view) supply the map pictures; they see your IP address and the part of the map being loaded, not your account.
  • Flagpedia (flagcdn.com) supplies the country flags when you pick a country for your number; it sees your IP address, not your account or your number.

How long we keep it

We keep your information while you have a SanoCircle account. When you delete your account, we delete it and everything tied to it: your profile, friends, check-ins, bookings, games, reviews and wallet. Copies in our encrypted backups are overwritten as the backups roll over. The record of notifications goes sooner, after 90 days.

A partner place keeps its own records of sales made at its counter, as the law requires of it; once your account is gone, those are no longer linked to you in SanoCircle.

Deleting your account

You can delete your account and its data at any time, in the app:

  1. Open SanoCircle and go to your profile.
  2. Open Settings, then tap Delete account.
  3. Confirm with Delete my account.

It happens straight away and can’t be undone. If you can’t open the app, email contact@getyourvanilla.com from the email address on your account, with the subject “Delete my SanoCircle account”. We’ll delete it within 7 days and confirm by email.

Deleting some of your data

You can delete these from SanoCircle without deleting your account:

  • Your profile photo. Go to your profile, tap your avatar to edit it, and turn off Show to my friends. The photo is deleted from our servers straight away.
  • What we kept from your contacts. In Find friends, tap Forget my contacts. The links and scrambled codes made from your contacts are deleted straight away, along with any invites still waiting.
  • Your phone number, birthday and other profile details. Change or clear them in your profile and Settings.

To delete anything else (a review, a photo of a place, your check-ins) without deleting your account, email contact@getyourvanilla.com from the email address on your account, saying what you’d like deleted. We’ll do it within 7 days and confirm by email. To delete everything, see Deleting your account above.

Your rights and choices

  • See and change your profile, phone number and privacy settings in the app at any time.
  • Turn off location, contacts, camera, Bluetooth or notifications in your phone’s settings. The parts of SanoCircle that need them stop working; everything else carries on.
  • Choose which notifications you get in Settings, and turn off Suggest people near me in Find friends.
  • Ask us for a copy of your information, or to correct it, by emailing us.
  • Delete your account, as described above.

Children

SanoCircle isn’t meant for children under 13, and we don’t knowingly collect information from them. If you believe a child under 13 has an account, email us and we’ll delete it. Suggest people near me is only for people 18 and over.

Changes to this policy

When we change this policy we’ll update the date at the top of this page, and tell you in the app if the change matters to how your information is used.
